• Conversation data: Audio recordings, transcriptions, and AI-generated insights from meetings you choose to capture.
• Usage data: How you interact with our platform, features used, and session information.
• Device information: Browser type, operating system, and device identifiers for app functionality.

2. How We Use Your Information

We use collected information to:

• Provide, maintain, and improve our conversation intelligence services
• Generate transcriptions, summaries, insights, and action items from your meetings
• Personalize your experience and deliver relevant features
• Communicate with you about your account, updates, and support
• Ensure security, detect fraud, and comply with legal obligations

3. Data Security

We take the security of your conversation data seriously. All data is encrypted in transit using TLS 1.3 and at rest using AES-256 encryption. We maintain SOC 2 Type II compliance and conduct regular third-party security audits.

Your audio recordings and transcripts are processed in isolated, secure environments. We never use your conversation data to train our models without explicit opt-in consent.

4. Data Sharing

We do not sell your personal information or conversation data. We may share data with:

• Service providers: Trusted partners who assist in providing our services (cloud hosting, AI processing), bound by strict data processing agreements.
• Your organization: If you use Memo through a team or enterprise account, administrators may have access to usage analytics.
• Legal requirements: When required by law, regulation, or valid legal process.

5. Your Rights

You have the right to:

• Access, correct, or delete your personal information
• Export your meeting data and insights at any time
• Opt out of non-essential communications
• Request deletion of your account and all associated data
• Object to certain data processing activities

6. Data Retention

We retain your conversation data for as long as your account is active. Upon account deletion, all data including recordings, transcripts, and insights are permanently deleted within 30 days. Backup copies are purged within 90 days.
